Privacy Policy

Last updated: September 12, 2026

1. Who we are

MoveEmpire LLC (“MoveEmpire”, “we”, “us”, “our”) operates the MoveEmpire platform at moveempire.app and this website. MoveEmpire is business software for moving and relocation companies, covering leads, estimates, scheduling, dispatch, invoicing, reporting and marketing tools.

MoveEmpire LLC, 6430 Charlotte Pike, Suite 107, Nashville, TN 37209, United States. Privacy and legal contact: legal@moveempire.app

2. Two kinds of data, and two different roles

This policy covers two categories that are treated differently in law and by us:

  • Account Data — information about you as our customer or website visitor. For Account Data we act as the controller: we decide why and how it is processed, and this policy governs it.
  • Customer Data — information that a moving company using MoveEmpire enters, imports or connects to the platform about its own leads, customers, employees and jobs. For Customer Data we act as a processor: we handle it only on that company’s instructions and for the purpose of providing the service. If you are a customer of a moving company that uses MoveEmpire, that company — not MoveEmpire — controls your information, and you should direct privacy requests to them.

3. Information we collect

3.1 Account and billing information

Name, email address, organization name, role, and a securely hashed password. If you subscribe to a paid plan, payments are processed by Stripe. We do not receive or store full payment card numbers. We store subscription status, plan and billing history returned to us by Stripe.

3.2 Customer Data you or your organization put into the platform

This can include lead and contact records, customer names, addresses, phone numbers and email addresses, quotes and estimates, job and dispatch records, invoices, reviews, call logs, and marketing content. You choose what to put in.

3.3 Connected third-party accounts

If you connect an external service, we store the access credentials needed to keep that connection working and the data the service returns. This currently includes Google (Search Console and Analytics via OAuth) and WordPress (application passwords). You can disconnect any integration at any time.

3.4 Technical and usage information

Log data such as IP address, browser type, pages accessed and timestamps, generated when you use the platform. We store a session token in your browser so you stay signed in.

3.5 Communications

Demo requests, support messages and other correspondence you send us, including the contents of those messages.

4. How we use information

  • To provide, operate, secure and improve the platform.
  • To create and administer your account and authenticate you.
  • To process subscriptions, invoices and payments.
  • To send service and transactional messages, including by email and, where you have asked for it, SMS.
  • To respond to demo requests and support enquiries.
  • To detect, investigate and prevent fraud, abuse and security incidents.
  • To comply with legal obligations.

We do not use Customer Data to train artificial-intelligence models for our own benefit or for other customers.

5. Legal bases (EEA and UK users)

Where the GDPR or UK GDPR applies, we rely on: performance of a contract (providing the service you signed up for); legitimate interests (securing and improving the platform, preventing abuse); consent (where we ask for it, such as optional marketing email); and legal obligation.

6. Artificial intelligence processing

Some features generate or analyse content using third-party AI providers, currently Google (Gemini) and OpenAI. When you use those features, the content you submit is transmitted to the relevant provider to produce a result and is subject to that provider’s terms. Do not put information into AI features that you are not permitted to disclose to a third-party processor.

7. Service providers we share information with

We share information only with providers that help us run the service, and only as needed:

  • Supabase — database hosting.
  • Hostinger — application hosting.
  • Stripe — payment processing.
  • Google — authentication and connected Search Console / Analytics data; Gemini for AI features.
  • OpenAI — AI features.
  • Twilio — SMS delivery.
  • Email delivery providers for transactional email.

We may also disclose information if required by law, to enforce our agreements, or in connection with a merger, acquisition or sale of assets — in which case we will give notice before your information becomes subject to a different privacy policy.

8. International data transfers

MoveEmpire is based in the United States. Our production database is currently hosted in the Asia Pacific (Tokyo, Japan) region. Information you provide may therefore be stored and processed outside your country of residence, including in Japan and the United States. Where required, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses.

9. How long we keep information

We keep Account Data for as long as your account is active. After termination or cancellation we retain Customer Data for 30 days so it can be exported or the account reinstated, after which it is deleted from active systems; residual copies may persist in backups for a limited further period. We keep billing records for as long as tax and accounting law requires.

10. Security

We use commercially reasonable technical and organizational measures to protect information, including encrypted connections (TLS) and access controls, and we work continuously to improve them. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If you believe your account has been compromised, contact legal@moveempire.app immediately.

11. Your rights and choices

Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent. Residents of Tennessee, California and other US states with comprehensive privacy laws, and residents of the EEA and UK, have rights of this kind under their local law.

To exercise a right, email legal@moveempire.app. We will verify your request and respond within the time your law allows. We will not discriminate against you for exercising a right. If we decline, you may appeal by replying to our response, and you may contact your state attorney general or supervisory authority.

If your request concerns information held by a moving company that uses MoveEmpire, we will refer you to that company, which is the controller of that data.

12. We do not sell or share your personal information

We do not sell personal information, and we do not share it for cross-context behavioral advertising, as those terms are defined under US state privacy laws.

13. Cookies and similar technologies

We use strictly necessary storage to keep you signed in and to operate the platform. We do not use advertising or cross-site tracking cookies. If we add optional analytics in future, we will update this policy and obtain consent where required.

14. Children

MoveEmpire is a business product and is not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact legal@moveempire.app and we will delete it.

15. Changes to this policy

We may update this policy. We will change the date at the top and, for material changes, notify account holders by email or in-product notice before the change takes effect.
